Payment, Appointment Cancellation & Refund Policy
At Centre of Dental Excellence, we are committed to providing a high standard of treatment and service to our patients. To achieve this goal, it is important that treatment fees are collected efficiently.
All patients are provided with a treatment plan and estimate before the treatment commences which has details of the payment terms and the fees payable for treatment.
Our practice collects pre-payments in full for all consultations at time of booking to secure them.
We also take payment towards all treatments at time of booking your follow up appointments. if you have booked an appointment for 6 – 12 months’ time, you will be contacted by our reception team from 3 months up to 1 month prior to your appointment. These payments can also be done over the phone or via bank transfer for larger amounts.
However, if you are having orthodontic treatment, you may have a pre agreed payment plan created by Stacy Parker-Walsh (Practice Manager).
No patient card details are kept on file under any circumstances.
Pre Payments
When you arrange an appointment at Centre of Dental Excellence, when booking you will be asked to make pre-payment for this appointment to secure your appointment. Reasons Centre of Dental Excellence operates by this policy is:
- To ensure we do not get last minute cancellations or no-shows with our specialists’ team.
- Our consultation appointments are tailored to ensure sufficient time (between 30 to 60 minutes) is allocated to patients to address their concerns and carry out a detailed clinical assessment. On occasions where patients have failed to attend an appointment, this increases our inefficiencies as a service and results in an increased waiting time to see other referred patients who could have been seen in this time slot instead.
- To provide a fair, efficient service to all our patients and referring dentists.
Payment Method
The following payment methods are accepted: Debit cards, Credit cards (Except American Express), Cash and Bank Transfers
Please note that from 31.8.2022 we will no longer except the old paper £50 and £20 notes.
We DO NOT except cheques.
Change of Details
You must inform the practice immediately of any changes to your contact details. Failure to do so will mean that we are not able to provide you with essential information and updates.
Cancellation by the Patient
You may cancel a course of treatment for which you have booked an appointment and be fully refunded all fees for treatment not yet performed; provided you give the practice a minimum of 2 full working days’ notice (working days are Monday – Friday)
Cancellation of any appointment, the practice requires a minimum of 2 full working days’ notice (working days are Monday – Friday). If 2 full working days’ notice is not received, you will lose your pre-payment and you will be charged in full to rebook.
Refunds
We will refund the money to patients who wish to discontinue treatment at any time, not including treatment already carried out.
If a patient is receiving any treatment that involves laboratory work and initial work has been carried out; i.e. if the patient is having crowns/bridges or a denture made, and the work has already been started or completed by the laboratory, a proportion of the fee taken on the preparation appointment will be kept to cover the cost of the laboratory invoice.
All refunds must be requested in writing at info@centreofdentalexcellence.co.uk, addressed to Stacy Parker-Walsh, Practice Manager. Refunds will be processed within 3-10 days after receipt of your request. You will only be refunded for services you have not received.
Please Note: Any refunds Centre of Dental Excellence give will only be refunded via the same way the original payment was made. (E.g if you paid via apple watch we would have to refund you on the same device)
